Overdue items, credit exposure and late payers need more data
Ranking debts by age needs open balances, which a Day Book does not hold.
Makes this live: Tally's bill-wise outstanding report with due dates, customer credit terms and limits, and some payment history.
How the queue is ordered
Priority
Average of three scores from 0 to 100: size (amount against the large-item threshold), lateness (days late against the high-risk threshold) and exposure (other money in flight with the customer against the credit limit, or the large-item threshold when no limit is known).
Size
Amount at stake against the large-item threshold (AED 50,000, Settings: receivables). At or above it scores 100.
Lateness
Days late against the high-risk threshold (180 days). For a receipt, days since it arrived unallocated; for a cheque, days since its date; for an open item, days past due.
Exposure
Other money in flight with the customer: invoices with no settlement in the export, orders not yet invoiced, and goods delivered with no invoice in the export; for an open item, the customer's other open items and orders against the credit limit.
Working an item
Happens in Tally or with the customer; the platform records nothing in Tally. An alert linked from a row can be acknowledged or assigned in the Action Center.
How this is counted
How receipts are matched
A receipt settles an invoice only where Tally names it (a bill allocation against a reference). Nothing is matched by amount; a receipt that names no invoice is listed as such, and amounts recorded on account count as not allocated.
Only posted vouchers settle
Optional (memorandum) receipts and journals are not in Tally's books, so they settle no invoice and count in no figure. They stay listed, struck through.
Post-dated cheques
Counted as collected on the cheque date. Whether a cheque was deposited or cleared is not in the Day Book, so each one is listed to confirm.
Owner's account is not cash
A journal that credits a customer and debits the owner's account clears the customer's balance without money reaching a company bank or cash ledger. It is shown apart and never added to collected. The class comes from the ledger name until a ledger mapping in Settings confirms it.
Collected beside invoicing
Set side by side for size only. Most receipts in a short window pay invoices issued before it, and the window's own invoices are paid later or cleared by journal, so collected is not the share of this period's invoices that was paid.
Open balances
A Day Book holds no open balances, so what customers owe, and for how long, needs Tally's bill-wise outstanding report with credit terms.
